Who we are

Terrapin Beach House is a single, privately-owned short-term rental in Pacific City, Oregon. This privacy policy describes how we handle personal information collected from guests who book directly through this website. It does not cover bookings made through Airbnb or VRBO — those platforms have their own privacy policies.

What we collect

• Name, email address, and (optional) phone number you provide at sign-up.
• Booking details: stay dates, number of guests, special requests, rental agreement acceptance.
• Payment information processed by Stripe — we never see or store your full card number; Stripe sends us a token and a charge ID.
• For Venmo, Zelle, or check payments: the offline payment method you selected and the reference code, but no account credentials.
• Sign-in and account activity (IP address, timestamps) for security and abuse prevention.

How we use it

• To confirm your booking, send pre-arrival information, and process refunds.
• To deliver gate and keybox codes the day before arrival (email only — never SMS).
• To detect abuse and prevent double-bookings.
• To comply with tax and short-term-rental record-keeping requirements.

Who we share it with

We share only what each provider needs to do its job: Stripe (payments), Resend (email), Twilio (SMS, only if you opt in), Vercel (hosting), Railway (database), Cloudflare (image delivery), and Sentry (error monitoring). We do not sell your information, and we do not share it with advertisers.

Data retention

Bookings and payment records are kept for seven years to satisfy tax and audit requirements. Account profile data is kept until you request deletion. Email delivery metadata (open and click events) is kept for one year.

Your rights

You can request a copy of all data we hold about you, or ask us to delete your account. Email us at the address below and we will respond within 30 days. We are required to retain booking and payment records as noted above, but personal profile data can be deleted on request.

Recording devices on the property

Exterior security cameras above each deck door are TURNED OFF during guest stays. A Ring doorbell at the front entry is always on and records the entryway and driveway. There are no cameras of any kind inside the home. This disclosure is also presented in the rental agreement.
